Events Specialist

The Events Specialist contributes to Indy Chamber goals of membership, community, revenue, and relationship growth by managing logistics for assigned events.

Requirements
  • Successfully manage logistics for over 20 assigned series events and two signature events a year.   
  • Follows up on sponsorship sales agreements 
  • Manage sponsor fulfillment for assigned series and signature events both virtually and in person.
  • Provide strategic input for future event development or redesign and follow through on goals/action steps.
  • Prepares supplies and coordinating of all events on a weekly basis, including nametags, check in lists, signage, etc.
  • Ensure events are in line with outcomes from member satisfaction/survey data.
  • Maintain liaison with event clientele.
  • Secure and confirm logistics with venue hosts for assigned events.
  • Ensure facilities are properly prepared.
  • Resolve problems before, during, and after event.
  • Attend and provide direct hands-on work for assigned events.
  • Manage Indy Chamber Staff Ambassadors who may be assigned to the events.
  • Maintain all records for events, including registration and attendance.
  • Assist other event staff with their events as needed.
  • Provide data insertion tracking and results to the Events Membership and Marketing team for Indy Chamber events reporting.
  • Coordinate event operations with other department staff members to ensure readiness, efficiency in resource utilization, and the prompt delivery of services.
  • Coordinate event operations with the communications department to ensure the timely and accurate marketing of events and production of sponsorship materials, including print, signage, and electronic communications.
  • Ensure fiscal effectiveness of events.
  • Assess fiscal requirements for assigned events and prepare budgetary recommendations.
  • Manage expenses to budget for all events and develop trend analysis.
  • Maintain accurate financial records for assigned events and supplies.
  • Participate in industry associations to remain attuned to current trends and new developments in the event management field. ensuring that events are of quality level and meet member satisfaction.
  • Primary point of contact for all event’s ticketing and nametag platforms, i.e. Eventbrite interface. 
  • Attend weekly meetings and spearhead agendas and project tasks.

  • Demonstrated familiarity with the Greater Indianapolis area and its surrounding counties. 

Preferred Qualifications

  •  Bachelor's degree with 4-5 years’ experience in a comparable position.
